ARTIFICIAL INTELLIGENCE (AI) IN THE WORKPLACE

Written by Choert Maartens

Artificial Intelligence will never replace the creativity, skill and passion of a qualified hairdresser or beauty therapist. What it can do is help employers spend less time behind a desk and more time leading their teams and serving their clients.

The South African hairdressing and beauty industry has always been about people. Behind every successful salon is a passionate employer, a dedicated team of professionals, and loyal clients who trust those professionals with their appearance and confidence. Relationships, creativity, technical expertise, and exceptional customer service remain the foundation of our industry, and no technology will ever replace these qualities.

However, the way we manage businesses is changing rapidly. Artificial Intelligence (AI) has become one of the most talked-about developments in modern business, and for good reason. It is already transforming industries across the world by helping businesses automate repetitive tasks, improve communication, analyse information more effectively and make better decisions.

For many salon/spa owners, AI may still sound like something reserved for large corporations or technology companies. The reality is very different. Today, AI is available to businesses of every size, including independent salons, beauty clinics, barber shops and nail studios.

The question is no longer whether AI will influence our industry—it already has. The real question is whether employers are prepared to use it to strengthen their businesses while protecting what makes our industry unique: the human touch.

Why AI Matters More Than Ever

Running a salon/spa in South Africa is not without its challenges. Employers must manage increasing operational costs, fluctuating consumer spending, competition from both established businesses and home-based operators, staff development, stock control, marketing, labour compliance and customer expectations—all while maintaining profitability.

Many employers wear several hats every day. They are managers, administrators, marketers, trainers, recruiters, accountants and customer service specialists, often before they even begin working with clients.

Administrative work can consume several hours each week. Time spent writing policies, answering repetitive emails, preparing staff documents, creating social media content or analysing sales figures is time taken away from growing the business.

Artificial Intelligence offers employers the opportunity to work smarter by reducing the amount of time spent on repetitive administrative tasks, allowing more time to focus on leadership, business development and customer service.

AI should not be viewed as a replacement for employees. Instead, it should be viewed as a highly capable business assistant that supports employers by increasing productivity and improving efficiency.

Practical Ways AI Can Support Your Business

One of the greatest advantages of AI is its versatility. Employers do not need to overhaul their businesses to benefit from it. Small, practical changes can have a significant impact.

Marketing Without the Stress

Marketing is essential, yet many salon owners struggle to produce fresh, engaging content consistently. AI can help generate ideas for:

  • Social media posts

  • Promotional campaigns

  • Seasonal specials

  • Retail product promotions

  • Email newsletters

  • Client appreciation campaigns

  • Competition ideas

  • Blog articles for your website

Instead of spending hours trying to think of the perfect caption, AI can generate several options within seconds, giving employers a professional starting point that can then be personalised to reflect the salon's unique personality.

Consistency in marketing is often more important than perfection, and AI makes consistency easier to achieve.

Better Client Communication

Excellent communication builds loyal clients. AI can assist in drafting:

  • Appointment confirmations

  • Appointment reminders

  • Birthday messages

  • Follow-up care instructions

  • Thank-you emails

  • Client satisfaction surveys

  • Loyalty programme communications

  • Referral campaigns

Although these messages should always be reviewed and personalised before sending, AI significantly reduces the time required to prepare them.

Supporting Employee Management

Managing employees involves considerable administration. Employers can use AI to prepare first drafts of:

  • Employment contracts

  • Job descriptions

  • Interview questions

  • Performance review documents

  • Staff meeting agendas

  • Standard operating procedures

  • Training manuals

  • Induction programmes

  • Workplace policies

  • Internal newsletters

It is important to remember that employment documentation should never be adopted without proper review. Employers must ensure that all workplace documentation complies with South African labour legislation, the applicable Main Collective Agreement and the specific circumstances of their business.

AI should assist with drafting, not replace professional advice where legal compliance is required.

Improving Business Planning

Successful employers make decisions based on information rather than assumptions. AI can help interpret business data by identifying:

  • Sales trends

  • Retail performance

  • Busy and quiet trading periods

  • Staff productivity

  • Client retention

  • Rebooking percentages

  • Stock usage patterns

  • Budget forecasts

This information enables employers to identify opportunities for growth while addressing areas that require improvement.

AI as a Training Partner

Continuous learning is essential in the hairdressing and beauty industry. AI can assist employers in developing:

  • Product knowledge quizzes

  • Customer service exercises

  • Consultation checklists

  • Retail sales training

  • Role-playing scenarios

  • Technical theory assessments

  • Leadership development material

Rather than replacing practical training, AI helps employers prepare professional learning material more efficiently. Employees still require hands-on coaching, mentoring, and supervision, but AI can simplify the preparation process.

Financial Benefits of Using AI

One of the greatest misconceptions surrounding Artificial Intelligence is that it is expensive.

Many AI tools offer free versions that are more than sufficient for small businesses. By reducing administrative workload, employers can:

  • Spend more time generating income

  • Reduce unnecessary overtime

  • Improve marketing consistency

  • Increase staff productivity

  • Improve customer retention

  • Enhance business planning

Even saving one or two hours each week can translate into meaningful financial benefits over the course of a year.

The Risks Every Employer Should Understand

Like any business tool, AI must be used responsibly. Employers should understand its limitations as well as its advantages.

Protect Confidential Information

One of the biggest mistakes businesses make is uploading confidential information into publicly available AI platforms.

Never upload:

  • Employee disciplinary records

  • Salary information

  • Identity numbers

  • Medical certificates

  • Client records

  • Financial statements

  • Banking details

  • Confidential business strategies

Employers remain responsible for protecting personal information in accordance with the Protection of Personal Information Act (POPIA). If confidential information is entered into an AI platform without appropriate safeguards, businesses may expose themselves to privacy risks and potential legal consequences.

AI Can Be Wrong

Artificial Intelligence is impressive, but it is not infallible. It occasionally generates information that is outdated, incomplete, or simply incorrect. This is particularly important when dealing with:

  • Labour law

  • Employment contracts

  • Disciplinary procedures

  • Health and safety requirements

  • Tax legislation

  • Regulatory compliance

Employers should always verify AI-generated information before acting upon it, particularly where legal obligations are involved, and that is where your EOHCB representative will step in to verify and assist should the need arise.

AI should support professional judgement, not replace it.

Cybercrime Is Evolving

Artificial Intelligence is also making cybercrime more sophisticated.

Fraudsters are using AI to create convincing phishing emails, fake invoices, voice impersonation scams and fraudulent payment requests.

Employers should ensure that employees understand basic cybersecurity principles, including:

  • Never changing banking details based solely on an email.

  • Confirming payment requests telephonically.

  • Using strong passwords.

  • Enabling multi-factor authentication.

  • Reporting suspicious emails immediately.

  • Regularly updating computer software.

Cybersecurity is no longer only an IT issue; it is a business management responsibility.

Managing Employee Concerns

Whenever new technology is introduced, employees may worry that their jobs are at risk.

Employers should communicate openly about the purpose of AI. Artificial Intelligence is not being introduced to replace talented professionals. Instead, it is intended to remove repetitive administrative work, allowing employees to focus on delivering exceptional client experiences.

Involving employees in learning about AI can also improve acceptance.

Simple workshops demonstrating how AI can assist with marketing, communication, and administrative tasks can empower employees rather than intimidate them.

Maintaining the Human Touch

No matter how advanced technology becomes, certain aspects of our industry cannot be automated. Clients do not return simply because appointments are confirmed automatically or because social media posts are generated by AI.

They return because they trust their stylist/technician/therapist, someone remembers their preferred hair colour, their therapist genuinely listens to their concerns, and because they feel welcomed, respected, and valued.

Artificial Intelligence cannot replace empathy, creativity, experience, or trust.

The most successful salon/spas will continue to combine modern technology with exceptional personal service.

EOHCB Employer's Checklist: Getting Started with AI

Employers do not need to implement everything at once. Start small and build confidence over time.

Ask yourself:

✓ Could AI help me prepare staff documents more efficiently?

✓ Can AI save me time creating social media content?

✓ Could AI improve my client communication?

✓ Can AI help analyse my monthly sales figures?

✓ Have I trained my employees on protecting confidential information?

✓ Am I reviewing AI-generated content before using it?

✓ Am I using AI to improve service rather than replace personal interaction?

Small improvements made consistently often produce the greatest long-term results.

Ten AI Tools Worth Exploring

Several AI platforms are particularly useful for salon/spa employers:

  1. ChatGPT – Draft letters, newsletters, policies, training material, marketing content and business documents.

  2. Microsoft Copilot – Improve productivity within Word, Excel, Outlook and PowerPoint.

  3. Google Gemini – Brainstorm ideas, summarise information and assist with business planning.

  4. Canva AI – Design professional marketing material, posters, price lists and social media graphics.

  5. Grammarly – Improve spelling, grammar and professional communication.

  6. CapCut AI – Produce engaging promotional videos for social media.

  7. Notion AI – Organise procedures, meeting notes and operational documents.

  8. Adobe Express AI – Create branded promotional content quickly.

  9. Otter.ai – Record and transcribe meetings, making minute-taking easier.

  10. Perplexity AI – Conduct research and compare information from multiple reputable sources.

These tools should be viewed as productivity enhancers that help employers work more efficiently while maintaining high professional standards.

Looking Ahead

The future of the South African hairdressing and beauty industry will continue to be shaped by innovation. Businesses that embrace new technology while remaining committed to professionalism, compliance and exceptional customer service will be well positioned for long-term success.

Artificial Intelligence is not a shortcut to success, nor is it a substitute for effective leadership. It is simply another business tool—one that can help employers save time, improve communication, strengthen administration and make better-informed decisions.

The salons/spas that will thrive in the years ahead will not necessarily be those with the biggest budgets or the latest technology. They will be the businesses that successfully combine innovation with the qualities that have always defined our profession: creativity, integrity, technical excellence and genuine care for people.

At the EOHCB, we encourage employers to embrace technology responsibly, remain informed about emerging trends, and continue investing in the development of their teams. By using AI wisely and ethically, employers can reduce administrative burdens, enhance business performance, and create more time for what truly matters—building successful businesses that deliver outstanding service to every client who walks through the door.

Artificial Intelligence may be changing the way we work, but it is people who will always remain at the heart of the South African hairdressing and beauty industry.
